At defence expos, thousands of attendees, vendors, and officials move through a chaotic environment. Conversations are random, attention is limited, and missing the right person means missing real opportunity. This playbook highlights how you can identify key stakeholders and close a sales lead even without a stall at the expo.
Problem
Most outreach at expos is reactive — people talk to whoever is available or whoever has stopped by their stall. But what if you don't have a stall? Better still, you know stall isn't what you need at the stage your company is in.

Mapped defence hierarchy and identified which ranks and roles held actual decision-making power.

Built a quick-reference system (using Figma) to memorize ranks, insignia, and visual cues. This allows instant identification on the floor.
Priority-Based Engagement
Shifted from random outreach to targeted interaction, focusing only on high-value individuals. You talk to people who are actively only engaging with similar companies or products.
Communication Compression
Refined product messaging into short, high-context explanations that could be delivered in under a minute + a visual handbook that showcases your product.
Real-Time Adaptation
Adjusted approach dynamically based on crowd flow, event type, and stakeholder behavior.
Ensure a follow up
Your conversation should end with a phone number or a commitment to a meeting.
Outcome
This outreach helped us ace meetings and discussions with several key stakeholders. What started as conversations to showcase our products, ended up leading to ₹100Cr ($10M+) in defence contracts.
